TERMS & CONDITIONS – Dorset Swim

GENERAL SUPERVISION
Dorset Swim is not responsible for the supervision of children in the toilet, changing room or shower areas. Children remain the responsibility of their parent or guardian at all times outside of the swimming lesson.
Parents/guardians remain responsible for their child before and after the lesson and while in changing areas.
Please arrive “swim ready” no more than 5 minutes before your lesson and vacate the premises within 5 minutes after your lesson to allow for parking and changing room access for other families.
SAFETY & LIABILITY
While every reasonable care is taken during lessons, Dorset Swim and its staff cannot accept responsibility for loss, damage or injury sustained before, during or after lessons, except where caused by proven negligence.
Swimmers must not attend lessons if they have suffered from any illness within the previous 48 hours.
All medical conditions must be declared at registration and kept up to date by emailing dorsetswim@gmail.com and updating your ClassForKids profile.
POOLSIDE VIEWING
Parents/guardians and siblings may watch lessons from poolside on the understanding that this is done quietly and without disruption. If noise levels become excessive or siblings become unruly, Dorset Swim reserves the right to ask families to wait in their cars during the lesson.
Please remember that poolside should be treated like any other classroom environment.
BEHAVIOUR CODE
All swimmers, parents, guardians and spectators are expected to behave respectfully towards staff and other families at all times.
Abusive, aggressive, discriminatory or threatening behaviour (including verbal or written communication) will not be tolerated and may result in immediate removal from the swim school without refund.
Dorset Swim operates a zero-tolerance approach to bullying or harassment of any kind.
Dorset Swim reserves the right to remove, without refund, any swimmer or family member who is found to be bullying, behaving inappropriately, or disrupting lessons.
PHOTOGRAPHY
Photographs or videos may occasionally be taken for Dorset Swim marketing or promotional purposes.
Parents must inform Dorset Swim if they do not wish their child to be photographed and must notify Dorset Swim if this preference changes.
BOOKINGS & PAYMENT
Payment is required in advance for each term. A place in a class is not confirmed until full payment has been received.
If a booking has not been paid for, the swimmer may not attend the class.
Invoices must be paid by the due date stated. If payment is not received by the due date, Dorset Swim reserves the right to:
• withdraw the swimmer’s place
• offer the space to another swimmer
• refuse entry to lessons until payment is made
Repeated late payment may result in the swimmer losing their place permanently.
PAYMENT METHODS
Our preferred payment method is via the ClassForKids booking system.
If this is not possible for a specific reason, alternative payment arrangements may be made. Alternative payment methods will incur an administration charge of £1.50 per transaction and/or any applicable platform fees.
COMMITMENT TO THE COURSE
Swimming lessons are most effective when children attend regularly and commit to the full course. Dorset Swim therefore asks parents to support their child in completing the term they have enrolled in wherever possible.
MISSED LESSONS
No refunds or credits are given for lessons missed due to a swimmer’s own circumstances, including illness, holidays or other personal commitments.
CANCELLATIONS & WITHDRAWALS
Once a place has been booked on a course, no refund will be given if cancelled less than 14 days prior to the start date.
Courses cancelled with more than 14 days’ notice will be entitled to a refund of monies paid minus a £15 administration fee and any applicable card processing charges.
Once a course has started, fees are non-refundable as the space in the class has been reserved for that swimmer for the duration of the term.
In exceptional circumstances, Dorset Swim may, at its discretion, offer a partial refund for any remaining lessons. Any refund issued will be subject to administration fees and deduction of any card processing charges incurred.
LESSON CANCELLATIONS BY DORSET SWIM
If a lesson is cancelled by Dorset Swim due to teacher illness, every effort will be made to offer a make-up lesson or a credit where reasonably possible.
No refunds or credits will be given for lessons cancelled due to circumstances beyond our control, including but not limited to: extreme weather, flooding, unsafe travel conditions, road closures, power failure, pool closure, or any situation where it is deemed unsafe to run lessons.
Dorset Swim may offer a rescheduled lesson at its discretion, but this cannot be guaranteed.
FORCE MAJEURE
Dorset Swim shall not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control. This includes, but is not limited to: extreme weather, flooding, fire, pandemic, government restrictions, power failure, pool closure, transport disruption, or any other event which makes it unsafe or impractical to run lessons.
In such circumstances, no refunds shall be due.
